Billing Clerk

Job Responsibilities

  • Bill retail, lease, and wholesale deals daily in the DMS; post costs, gross, and reserve accurately
  • Review deal jackets for complete and compliant paperwork: contracts, disclosures, rebate and incentive documentation, trade payoffs, insurance
  • Verify trade payoff amounts, process payoff checks, and confirm lien releases
  • Post F&I product sales — service contracts, GAP, maintenance plans — and reconcile to the provider schedules
  • Maintain and reconcile vehicle receivable, CIT, Inventory, We Owes and related schedules; clear aged items
  • Work directly with F&I managers and the sales desk to resolve discrepancies before they age
  • Support title and registration processing, including out-of-state transactions
  • Assist with month-end close as it relates to deal accounting

What We're Looking For

  • Prior dealership experience is required — specifically in deal billing, F&I administration, or dealership accounting
  • Working knowledge of a dealership DMS; Reynolds & Reynolds, CDK, etc.
  • Understanding of dealership deal structure: front-end and back-end gross, reserve, chargebacks, rebates, and trade payoffs
  • Strong attention to detail and the discipline to keep schedules clean rather than letting items age
  • Ability to communicate clearly and professionally with F&I managers, lenders, and customers
  • Solid Excel skills
  • High school diploma or equivalent; accounting coursework a plus

Physical Demands

  • Sit for extended periods while working at a computer
  • Use a computer, keyboard, calculator, and standard office equipment for most of the workday
  • Read and review documents and data on screens and paper for long periods
  • Occasionally stand, walk, bend, and reach
  • Occasionally lift and carry up to 10 pounds (deal jackets, file boxes, and supplies)
  • Work mainly in an office setting, with occasional outdoor exposure to heat and weather during lot inventory checks
  • Work in a fast-paced environment with daily and month-end deadlines
