Fred Haas Toyota Country is looking for an experienced Title Clerk to manage title and registration processing for a high-volume franchised Toyota dealership. This is a detail-critical, deadline-driven position at the center of our accounting office. You'll be responsible for making sure every deal we deliver gets titled accurately and on time — protecting the customer, the lienholder, and the dealership.

Job Responsibilities

  • Process title and registration paperwork for new, used, wholesale, and fleet deliveries
  • Prepare and submit title applications through webDEALER and to the Harris County Tax Assessor-Collector's office
  • Review deal jackets for completeness and accuracy before submission — Form 130-U, odometer disclosure, POA, trade payoff documentation, lien releases, and supporting ID
  • Calculate and verify motor vehicle sales tax, title fees, registration fees, and inventory tax
  • Manage temporary tag and buyer plate issuance, including out-of-state buyer plates
  • Process out-of-state titles and coordinate with other states' motor vehicle agencies
  • Perfect liens with finance sources and follow through to title receipt
  • Track and clear the title schedule daily; research and resolve aged or held titles
  • Obtain trade-in titles and payoffs, and follow up on outstanding documents from customers and other dealers
  • Maintain the tag and plate inventory log and reconcile it regularly
  • Post title-related entries and reconcile associated schedules with the accounting office
  • Maintain organized, audit-ready title records consistent with TxDMV and dealership retention requirements
  • Communicate with Sales and F&I on missing documentation and funding delays

What We're Looking For

  • 2+ years of title and registration experience in a franchised automotive dealership
  • Working knowledge of Texas titling requirements and the 30-day title transfer deadline
  • Hands-on experience with webDEALER
  • Strong accuracy with numbers, fees, and tax calculations
  • Ability to manage a high-volume workload and hold to deadlines without reminders
  • Professional written and verbal communication with customers, lenders, and county offices
  • Experience in Reynolds & Reynolds (or CDK/DealerTrack DMS)
  • Out-of-state titling experience
  • Familiarity with dealership accounting schedules and reconciliation

Physical Demands

  • Sit for extended periods while working at a computer
  • Use a computer, keyboard, calculator, and standard office equipment for most of the workday
  • Read and review documents and data on screens and paper for long periods
  • Occasionally stand, walk, bend, and reach
  • Occasionally lift and carry up to 10 pounds (deal jackets, file boxes, and supplies)
  • Work mainly in an office setting, with occasional outdoor exposure to heat and weather during lot inventory checks
  • Work in a fast-paced environment with daily and month-end deadlines
